A preventative maintenance schedule is a property-wide calendar stating which task is carried out on which asset, how often, by whom, and to what standard. Built properly it is generated from the asset register rather than from memory, so every asset carries its own service frequency, statutory inspection dates and complete job history.
Maintenance is the easiest thing in a building to let slide, because nothing visibly fails on the day you skip it. It fails four months later, in front of a guest, at the least convenient hour. The schedule exists to move that work from reactive to planned — and the difference between the two is measurable in both cost and guest satisfaction.

Reactive, preventative and predictive
Reactive maintenance fixes what has already broken. It is the most expensive way to run a building: emergency labour rates, expedited parts, collateral damage, and a guest who has already experienced the failure.
Preventative maintenance services an asset on a schedule — by calendar interval or by usage — to stop the failure occurring. It costs more in planned labour and far less in total.
Predictive maintenance uses condition data (vibration, temperature, run hours, pressure differentials) to intervene only when the asset shows early signs of failure. It is the most efficient and the most demanding, and it is worth applying selectively to the few assets whose failure closes the building.
Most properties should be running a strong preventative programme with predictive techniques on critical plant only. Attempting predictive everywhere before the basics are stable is a common and expensive mistake.
Start from the asset register
A PM schedule that is not generated from an asset register is a to-do list, and it will drift. The register is what guarantees that every asset is covered — including the ones nobody remembers until they fail.

Rate criticality first
Not every asset deserves the same attention. A simple three-tier rating drives everything downstream:
- Critical — failure closes rooms, outlets or the building, or creates a safety or legal breach. Chillers, boilers, lifts, fire systems, main switchgear, kitchen refrigeration, generators, water treatment.
- Important — failure degrades the guest experience but the building keeps trading. Guest-room HVAC, laundry equipment, pool plant, minor kitchen equipment.
- Routine — failure is an inconvenience. Joinery, decorative lighting, non-critical furniture.
Critical assets earn tighter frequencies, condition monitoring and held spares. Routine assets can safely sit on longer cycles.
Setting frequencies
Four inputs decide how often a task runs:
- Manufacturer recommendation. The starting point, and the one that protects your warranty.
- Statutory requirement. Where the law sets an inspection interval, that interval is a floor, not a target.
- Operating environment. Coastal salt air, desert dust, hard water, heavy year-round occupancy and generator-borne power fluctuation all shorten intervals. A lodge or an island resort should not run a city hotel's schedule.
- Failure history. After a year of records, let the data adjust the interval. An asset that keeps failing between services needs a shorter cycle, not a stern conversation.
Run hours beat calendar dates on rotating plant. Generators, pumps and compressors wear by use, not by month. Where an hour meter exists, schedule from it — a standby generator that ran for three weeks during an outage needs its service early, and a calendar-based schedule will miss that entirely.

Statutory and compliance inspections
A portion of the schedule is not discretionary. Fire detection and suppression, lifts and lifting equipment, pressure vessels, electrical installations, gas installations, water safety and legionella control, and kitchen extraction all carry inspection and certification obligations in most jurisdictions — but the intervals, the qualifications of the inspector and the record-keeping requirements vary considerably by country and sometimes by municipality.
Three rules apply everywhere:
- Confirm the requirement locally and write the actual legal interval into the schedule rather than a generic one.
- Diarise the certificate expiry, not the inspection date. An expired certificate is the finding, and it is what an insurer will ask for after an incident.
- Keep the evidence attached to the asset. A certificate filed in a drawer is worth far less than one linked to the asset record.
Guest-room PM cycles
Guest rooms are the largest asset group in most hotels and the easiest to neglect, because taking a room out of order has a visible revenue cost while the deterioration does not.
Most properties run a full room cycle two to four times a year, taking the room out of order for a half or full day. A typical cycle covers:
- Plumbing — taps, showers, WC, waste, leaks and water pressure
- Electrical — sockets, switches, lamps, bedside controls, safe, kettle
- HVAC — filter, drain, airflow, thermostat, noise
- Sealant and grout in bathrooms, and tile condition
- Door hardware, closers, locks and the lock battery
- Furniture and joinery — drawer runners, loose fixings, chipped edges
- Soft furnishings, curtain tracks and blackout integrity
- Balcony doors, railings and glazing where present
- Touch-up snag list handed to painting
Sequence the rota so rooms come out of order in low-occupancy windows, and rotate through room types rather than floors, so a single room type is never disproportionately unavailable.
Building the annual calendar
Once tasks and frequencies exist, they must be spread across the year or the schedule becomes undeliverable.
- Place the statutory items first. They are fixed points; everything else works around them.
- Load major plant work into low season. A chiller major service belongs in your quietest month, not in peak.
- Work backwards from the weather. Roofs, drainage, gutters and external sealant are inspected before the wet season, not after the first leak.
- Smooth the labour. Total the estimated hours per week and level them. A calendar where three-quarters of the work lands in two months will fail in those two months.
- Leave reactive capacity. Scheduling your team to 100% of available hours guarantees the schedule slips the first time something breaks. Plan to roughly 75–80% and hold the balance for emergent work.
- Coordinate with rooms and events. The banqueting diary decides when public-area work is possible. Noisy work opposite a conference is a complaint waiting to happen.
From schedule to work order
A scheduled task only becomes real when it turns into a work order carrying: the asset, the task and its standard, who it is assigned to, when it is due, the parts required, safety requirements such as isolation or permits, and the evidence needed at completion.
The step most properties omit is the last one. Every job should be independently verified before it closes. The person who did the work should not be the only person who says it is done. A second signature, a photograph, or a supervisor check converts a claim into evidence — and evidence is what an insurer, auditor or brand inspector actually asks for.
Anything discovered during a PM that cannot be fixed on the spot should raise a follow-up work order immediately, with its own priority. PM tasks that quietly become "noted, not fixed" are how a backlog forms invisibly.
Measuring the programme
Four numbers tell you whether the programme is real:

Where PM programmes break down
- The schedule is over-ambitious. A calendar nobody can deliver gets abandoned in month three. Start with critical assets, achieve high compliance, then widen.
- Reactive work always wins. Without protected planned hours, today's breakdown consumes tomorrow's PM, permanently.
- Tasks are vague. "Service the chiller" is not a task. State the steps, the tolerances and the evidence required.
- Findings are not raised as jobs. The PM notes a worn belt; nobody raises the work order; the belt fails.
- The register drifts. New assets installed during a refurbishment never enter the register, so they are never scheduled and quietly run to failure.
- Sign-off is self-certified. Without independent verification, compliance figures measure paperwork rather than condition.
